Vantixes (“Vantixes,” “we,” “us,” or “our”) is a trade name (“doing business as” / DBA) of Ornalo LLC, a US-registered limited liability company, through which Ornalo LLC offers ERP selection, implementation, and support services. This Privacy Policy explains how we collect, use, store, and protect information in connection with the Vantixes website and our service engagements.

Ornalo LLC (operating under the Vantixes trade name) is not a software vendor, reseller, registered investment advisor, broker-dealer, or financial institution. This policy does not apply to any third-party platforms, vendors, or systems you may separately license or use.

All contracts, proposals, and statements of work relating to Vantixes services are entered into with Ornalo LLC. “Vantixes” refers to the trade name under which those services are marketed and delivered, not a separate legal entity.

1. Information We Collect

1.1 Information you provide to us

  • Contact details (name, work email, company name) submitted through our “Book a call” form or via direct correspondence
  • Company information (company size, industry, current systems) provided during the discovery or scoping process
  • Project details you choose to share, including descriptions of your operations, timelines, and requirements

1.2 Information accessed during service delivery

Where you engage us for ERP implementation, selection, or support work, our role requires access to information stored within your internal systems, which may include:

  • Operational data (inventory, supply chain, workflow records)
  • Financial data (accounting records, transaction data, reporting structures)
  • Customer or vendor data stored within your ERP or related systems
  • Employee or HR-related data, where relevant to the scope of the engagement

We refer to this collectively as “Client System Data.” Client System Data belongs to you. We access and process it solely to perform the services described in your signed proposal or statement of work, and only for the duration necessary to complete that work.

1.3 Automatically collected information

  • Basic website usage data (pages visited, browser type, general location) collected through standard web analytics
  • We do not use this data to build advertising profiles, and we do not sell it to third parties

2. How We Use Information

  • To respond to inquiries and schedule discovery calls
  • To scope, propose, and deliver ERP selection, implementation, and support engagements
  • To communicate with you about an active or prospective engagement
  • To maintain internal records required for billing, contracts, and service quality
  • To comply with legal obligations

We do not use Client System Data for any purpose beyond the scope of the engagement you have agreed to. We do not use it to train external AI models, sell it, or share it with parties outside the engagement without your consent, except where a specialist from our vetted network requires limited access to perform contracted work — in which case that access is governed by a separate confidentiality agreement between Vantixes and that specialist.

3. Sharing of Information

We do not sell personal information or Client System Data.

We may share information in the following limited circumstances:

  • With specialists in our vetted delivery network, strictly as needed to perform the specific work you have engaged us for, and bound by confidentiality obligations to Vantixes
  • With service providers who support our operations (e.g., scheduling tools, secure file storage), under appropriate confidentiality terms
  • Where required by law, regulation, or valid legal process
  • In connection with a business transfer (e.g., merger or acquisition), with notice to affected clients where required

4. Data Security

We apply reasonable administrative and technical safeguards appropriate to the sensitivity of the information involved, including:

  • Access to Client System Data limited to personnel and specialists actively assigned to your engagement
  • Confidentiality agreements with all specialists prior to any data access
  • Secure storage and transmission practices for project-related data
  • Prompt revocation of access upon completion or termination of an engagement

No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we will notify you without undue delay if we become aware of a security incident affecting your data, consistent with our contractual and legal obligations.

5. Data Retention

  • Contact and inquiry information: retained for as long as reasonably necessary to respond to your inquiry or maintain a business relationship, or until you request deletion
  • Client System Data: retained only for the duration of the active engagement, and deleted or returned within a reasonable period after engagement completion, except where retention is required by law or agreed in writing (e.g., for warranty/support purposes)
  • Contract and billing records: retained as required for legal, tax, and accounting purposes

6. Your Rights

Depending on your location, you may have rights to access, correct, delete, or restrict the use of your personal information, and to object to certain processing. To exercise any of these rights, contact us at the email below. We will respond within a reasonable timeframe.

For Client System Data, requests regarding data subjects within your organization (e.g., your employees or customers) should generally be directed to you as the data controller; we will assist as needed under the terms of our engagement.

7. Cookies and Website Analytics

Our website may use cookies or similar technologies for basic functionality and aggregate analytics. You can control cookies through your browser settings. Disabling cookies may affect website functionality but will not affect our service delivery.

8. Third-Party Links and Platforms

Our website or services may reference or link to third-party ERP platforms or tools. We are not responsible for the privacy practices of those third parties. Any data you provide directly to a third-party platform is governed by that platform's own privacy policy.

9. International Data Transfers

As a Wyoming-registered company working with clients across multiple regions, information may be processed or stored in countries other than your own. Where required, we take reasonable steps to ensure appropriate safeguards are in place for such transfers.

10. Children's Privacy

Our services are intended for businesses and professionals. We do not knowingly collect personal information from individuals under the age of 18.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above. Continued use of our website or services after changes take effect constitutes acceptance of the revised policy.
